How to Dispose of Surplus (Excess) Vehicles

Summary: Follow the steps on this page to dispose of vehicles in your department for which you have no further use.

What the individual must do:
How to do it:
1 Determine that the vehicle is unwanted by its owner (excess.)
  1. Check with the person who has custody of the item(s).
  2. If the vehicle is excess, go to to Step 2.
2 To surplus a University Vehicle
  1. Fill out Surplus Request Form, Include:
    • Unit Name
    • Date
    • Contact Information
    • Phone Number
    • Vehicles UCSC Property Number
    • Mileage at time of release to Surplus
    • Unit Head Signature
    • Unit FOAPAL
  2. Print form and Fax attention: Kelly Mitchell 831-459-3699
  3. Be sure to remove any personal Items or Debris from the vehicle prior to releasing to Surplus.
3 Bring the vehicle to Surplus Operations, Barn H

You will need:

  1. The original signed Surplus Request Form
  2. The vehicle with keys

Once the Surplus Administrator or the Receiving Services Manager have the above items, the vehicle is officially released to Surplus.

How to do it:
1 Contact Fleet Services to obtain the Title
Surplus Services ensures the timely sale of your surplus vehicles by taking them through the entire release process.
2 Determine value of vehicle.

The Surplus Administrator will establish a price for saleable item(s), as appropriate.

3 Dispose of vehicle.
  1. For saleable items, the Surplus Administrator will offer selected items for sale through The Surplus Store to campus units for 30 days. If the item(s) do not sell during the first 30 days, they will be offered to the general public.
  2. For non-saleable items, the Surplus Administrator will recycle, if possible. Recharge rates for this service are listed in the Surplus Operations Overview.
4 Provide net proceeds to originating department
or
charge department for removal services.
  1. Once sold, the Surplus Administrator credits the net proceeds from the sale to the FOAPAL provided on the UCSC Surplus Request.
  2. For non-saleable vehicle, the Surplus Administrator charges the FOAPAL provided on the SC-15 Recharge Request for Goods and/or Services.
